General

Wolverhampton, Bilston & District Trades Union Council (WB&DTUC) is committed to protecting your privacy and security. This policy explains how, and why we use your personal data, to ensure you remain informed and in control of your information.

This Privacy Policy applies to anyone that WB&DTUC comes into contact with, including but not exclusively, delegates, supporters, volunteers, event participants, the general public etc.

We use personal data to communicate with people and to promote initiatives and opportunities. This includes keeping you up to date with our news, updates, campaigns and meeting information etc.

All WB&DTUC emails offer opt-out for marketing communications via “unsubscribe” and “update preferences” options.

You can also decide not to receive communications or change how we contact you at any time. If you wish to do so please contact the WB&DTUC Secretary by emailing info@wolvestuc.org.uk or by writing to WB&DTUC, PO Box 2917, Wolverhampton WV2 2YA.

We will never sell your personal data. and only provide it to other organisations with your permission e.g. when elected to represent us at an event organised by another organisation.

 

What information we collect

We collect Directly Provided Data which you give to us.

  • This includes personal details provided by your affilated trade union branch when you are annually elected as a delegate (name, email or address).

  • When you register for emails (name, trade union, email, postcode) via www.wolvestuc.org.uk or sign up at our events on paper forms to receive emails.

  • Emergency contact information when you register to volunteer with us at music festivals via Wandsworth and Battersea TUC’s Workers’ Beer Company.

 

Information we generate

www.wolvestuc.org.uk uses Google Analytics tracking software to monitor its visitors to better understand how they use it. The software will save a cookie to your computer’s hard drive in order to track and monitor your engagement and usage of the website, but will not store, save or collect personal information. Should users wish to deny the use and saving of cookies from this website onto their computers hard drive, they should take necessary steps within their web browser’s security settings to block all cookies from this website and its external serving vendors.

 

How we protect data

We employ a variety of physical and technical measures to keep your data safe and to prevent unauthorised access to, or use or disclosure of your personal information.

Our P.O. Box address is registered with the police for security and the address to which it relates will not be disclosed by the Post Office if requested. This is where paper records of affiliations received are kept as well as our computer systems. We utilise password manager software and external hard drives.

WB&DTUC stores emails using Mailchimp software. This automatically cleans emails that bounce or have been unsubscribed.

Minutes of meetings are recorded on www.wolvestuc.org.uk which include attendees.

Minutes over 5 years old and historical information is stored at Wolverhampton City Archives.

If you use a credit card to make a purchase from our online shop, your payment will be processed using PayPal and no payment information will be kept on our servers.

Of course, we cannot guarantee the security of your home computer or the internet, and any online communications (e.g. information provided by email or our website) are at the user’s own risk.

 

How long we store information

To comply with new data regulations, effective 25 May 2018, WB&DTUC will be required to make sure that we use and store information for as long as it is required for the purposes it was collected for. How long information will be stored for depends on the information in question and what it is being used for. We will regularly review what information we hold and delete what is no longer required.

 

Links to other websites

We operate Facebook social media pages. Although this policy covers how we will use any data collected from those pages, it does not cover how the providers of social media websites will use your information. Please ensure you read their privacy policy before sharing data and make use of the privacy settings and reporting mechanisms to control how your data is used.

Our website contains hyperlinks to some other websites. We are not responsible for the content or functionality of any of those external websites but please let us know if a link is not working.

 

Keeping you in control

We want to ensure you remain in control of your personal data. Part of this is making sure you understand your legal rights, which are as follows:

  • The right to confirmation as to whether or not we have your personal data and, if we do, to obtain a copy of the personal information we hold (this is known as subject access request);

  • The right to have your data erased (though this will not apply where it is necessary for us to continue to use the data for a lawful reason);

  • The right to have inaccurate data rectified;

  • Where technically feasible, you have the right to see personal data you have provided to us, which we process, automatically on the basis of your consent or the performance of a contract.

 

Changes to this Privacy Policy

We will amend this Privacy Policy from time to time to ensure it remains up-to-date and that it accurately reflects how and why we use your personal data. The current version of our Privacy Policy will always be posted on our website. This Privacy Policy was last updated on 24 May 2018.
